Problem description

The customer services within the municipality of Peel en Maas were already fully digital. The next step was to digitise the internal work processes. The many paper files created a number of obstacles on the road. Files got lost, it took a long time to find the file and sharing files was not efficient if they could only be in one place at a time. The municipality decided this had to change and contacted Archive-IT to digitise the files.

Solution

First the environmental permit and soil files were digitised, then it was the turn of the BSGW files. Archive-IT went through the content of the files and classified them under the right tab sheets. After that they were digitized in the correct order. By keeping this order, the digital files are immediately clear and structured. Digitising the files has improved and accelerated the internal processes. Employees find the right file faster and sharing goes with a click of a button.

Result

  • Accelerated and improved work processes.
  • The contents of the files now comply with the selection lists.
  • The electronic files are much quicker to consult than paper files.
  • The files are now securely stored in accordance with GDPR.
