Parnassia is a psycho-medical centre specialising in the treatment of adults with severe psychiatric disorders and elderly patients suffering from psychiatric issues or dementia. The organisation was formed in 1999 following a merger of several healthcare institutions in The Hague. As a major mental health provider, Parnassia works closely with numerous healthcare organisations and agencies to deliver personal, tailored care to its clients. In delivering this care, effective information management plays a crucial role. Efficient handling of patient records—both digital and physical—is therefore essential.

Fragmented Data and Time-Consuming Processes

Within the Parnassia Group, historical patient information was scattered across multiple electronic patient record (EPR) systems, including PinkRoccade Psychis and mijnQuarant. Accessing these records was difficult and inefficient, costing valuable time that could otherwise be spent on care delivery. In addition, anonymising patient information was a labour-intensive, manual process. Staff would print documents and redact personal data by hand—often involving up to twenty employees at a time. This process was not only time-consuming but also prone to error and costly.

A Central, Digital Solution with Archive-IT

To address these challenges, Parnassia partnered with Archive-IT. The solution involved migrating historical patient data from the various EPR systems into one central, secure digital environment: Virtual Archive.

Archive-IT managed the complete and meticulous extraction of data from the original systems, automatically registering essential metadata such as patient ID, date of birth, and name. This ensures that files are easy to search and retrieve. A major advantage of Virtual Archive is the ability to anonymise patient data digitally and efficiently. What was once a manual, paper-based task can now be carried out with a few clicks—fully GDPR-compliant and significantly more efficient.

Efficiency, Insight, and Future-Readiness

With the implementation of Virtual Archive, Parnassia now benefits from a centralised environment for all historical patient records. These can be retrieved or anonymised quickly and securely, while adhering to legal retention requirements and privacy regulations.

In the next phase, additional legacy databases will be migrated into Virtual Archive. Ultimately, all historical patient information will be accessible through a single central interface, streamlining processes and improving compliance across the organisation. The solution also offers the option to register physical archives in Virtual Archive. This enables integrated access to both digital and paper-based patient records—all within the same system.
