Stichting Gehandicaptenzorg Limburg (SGL) is dedicated to providing specialised care and support to individuals with brain injuries, those with (severe) physical disabilities, and people who rely on daily respiratory support. With locations spread throughout Limburg, SGL delivers care with attention and compassion, enabling people to get more out of life.

Andrea de Bie, Secretary of HRM and Back Office Employee at SGL, oversaw the digitisation project from start to finish. The project went beyond merely digitising personnel files—it involved a complete overhaul of the HR administration system in Raet, taking a major step towards a more digital and efficient organisation.

Security and Efficiency

Mrs De Bie shares her experience: “We believed that the ‘old’ paper personnel files should still have a place in our new environment within Raet. Having all information securely centralised was a priority. It has also made a significant difference in terms of space now that all 550 personnel files are no longer physically stored in our building. After digitisation, we chose to have the originals stored by Archive-IT in a high-security environment. Should we ever need to retrieve a physical document, we still have that option—which gives us peace of mind.”

Trial and Error

“The digitisation process ran very smoothly. The short lines of communication and the helpfulness of Archive-IT’s team were real advantages. It was, of course, a new process for us, so it was reassuring to have immediate support whenever we had questions. We also appreciated the opportunity to trial the process with a selection of files first. This allowed us to fine-tune our requirements, which ultimately resulted in an excellent outcome when the full digitisation took place,” says Mrs De Bie.

Employee Access

Since the second week of March, all SGL staff have had access to their own digital personnel files. The project was carried out with great care by the project team. “Transparency and efficiency are essential to us, and giving staff access to their own personnel files certainly supports this goal,” adds Mrs De Bie. “We began by offering access to a small group of employees to test the experience before rolling it out to everyone. The quality of the scanned files is excellent and has fully met our expectations. We would strongly recommend that other organisations with digitisation ambitions partner with Archive-IT.”
