Bureau Inkomens Beheer (BIB) supports individuals who are no longer able to manage their own finances, care, and/or personal well-being. Their primary services include budget management and legal guardianship (bewindvoering). In addition, BIB guides and assists clients in applying for debt restructuring solutions. To streamline their operations and ensure better information security, BIB partnered with Archive-IT to clean up and digitise their archive.

Letting Go of Paper

Bureau Inkomens Beheer (BIB) in Brunssum was already working largely in a digital environment, but their physical archive lagged behind. The paper binders led to inefficiency, reduced oversight, and took up unnecessary space. Information security was also a key concern, with digital storage offering far better safeguards. The time had come to make a complete shift to a digital archive.

Tailored Digitisation

BIB enlisted Archive-IT to digitise its client files. Each file consisted of a single binder containing unique client information, clearly labelled and accompanied by an Excel spreadsheet with corresponding metadata. Since some documents were already available in digital form, Archive-IT only digitised the remaining sections and securely disposed of the rest. After this clean-up and careful digitisation, the files were exported into BIB’s own system, where they can now be accessed in a familiar and secure environment.
