Thebe Holding is a major care and service organisation serving residents of Central and West Brabant. It provides a broad range of services for all age groups: from maternity and youth healthcare to home care, nutritional advice, and care within residential facilities. Originally established as a home care provider, Thebe has experienced numerous mergers, which have had a significant impact on the accessibility and organisation of patient information. With storage space running out and a clear need to professionalise the archive, Thebe Nursing & Care began looking for a suitable solution.

What to Do with the Medical Records?
The storage of medical files had become increasingly challenging, partly due to a policy of retaining all historical documents. With limited physical space, locating specific information was becoming more and more difficult. At the Zorg & ICT trade fair in 2011, Archive-IT introduced its 'Paperless Working from Day One' concept. Director Casper Jacobs, a long-time advocate of a paper-light environment, recognised a solution to his problem: not enough archive space at present, and even fewer square metres available in the future due to the planned demolition of an entire wing. Archive-IT appeared to be the professional partner he had been looking for.
Working Towards a Paperless Future
Following the trade fair, policy officer Harrie Slangen received detailed information about Archive-IT’s offerings—full digitisation, scanning on demand, and pallet storage—along with their processes and associated costs. Slangen remarked: “When the files were reviewed during the quotation process, it was immediately clear what was needed. That level of insight showed real professionalism. Based on the quote, we decided to proceed with the solution, and an implementation plan was drawn up.”
He continued: “There was extensive communication during the process. We deliberately scheduled the physical transfer for the carnival holiday. Two Archive-IT employees, along with a number of students, carried out the implementation. I was extremely satisfied with how it all went—the transition was smooth.
