Stichting kom Leren is an educational organisation in the Maastricht-Heuvelland region, consisting of 19 primary schools. With around 450 staff members, the foundation provides education to approximately 3,800 pupils. Diversity is a key priority: parents are offered a variety of educational profiles to choose from, tailored to their specific needs and preferences. Archive-IT helped Stichting kom Leren with the transfer to digital!

From Fragmented Files to Centralised Management

In the past, personnel files were stored both at the central administrative office and on individual school sites. This decentralised structure led to inefficiencies and raised concerns around privacy. Additionally, the organisation wanted to make better use of the digital personnel file features offered by AFAS. The time had come to part ways with paper records.

Digitisation as a Structural Solution

All physical personnel files were digitised and uploaded into AFAS. A key requirement was that all records relating to the same employee be grouped under the correct digital profile. Thanks to the use of unique AFAS employee numbers and a thorough onboarding process by Archive-IT, this was completed flawlessly.

Rutger Bronsveld, Coordinating Policy Officer and project lead at Stichting kom Leren, shared his experience: “The clear explanations, the way questions were handled, and the overall unburdening by Archive-IT made us very satisfied with the process. They truly delivered on their promises.”
