Wonen Zuid, a social housing provider operating in Central and Southern Limburg, manages a large number of construction files containing sensitive personal data. These files must be stored securely. In collaboration with Archive-IT, Wonen Zuid has chosen to store their construction files at pallet level. Curious about their experience? Ruud Bisschoff, Information Management Officer, shares insights into the completed project.

Choosing Archive-IT

Ruud explains: “Previously, our construction files were stored in a large warehouse in Roermond, divided into smaller storage rooms. However, these rooms lacked the level of security we considered essential. There were no cameras, fire suppression systems, or advanced safety measures—just a lock on the door. Given the sensitive nature of the information, we decided to seek a more secure solution. We quickly chose to partner with Archive-IT. This brought us double the benefit: improved security and reduced costs compared to the Roermond warehouse. Archive-IT is ISO-certified and offers extensive security measures, including CCTV, gas-based fire suppression systems, and burglary prevention. Our files are now safely stored at pallet level under optimal conditions.”

Why pallet storage?

Archives that are rarely accessed but must be retained for legal reasons are ideal for pallet storage. Wonen Zuid’s construction files are stored in boxes, stacked on pallets. Ruud adds: “Because the files must be kept for a legally required period, with the possibility that a file might be needed, we opted for pallet storage. Since they’re not used daily, this is a cost-effective solution. We made this choice together based on the advice of an Archive-IT specialist.”

Project execution

“We experienced no issues during the course of the project. It required minimal effort on our part. We agreed that Archive-IT would collect all the files and categorise them for registration—and that process went smoothly, without complications. All construction files are now securely stored at Archive-IT’s facility. Occasionally, we do need to retrieve a file. Thanks to Archive-IT’s fast ‘Scanning on Demand’ service, we receive a digital version within 24 hours. The reliability, adherence to planning, and clear communication are the key reasons this project was such a success.
